How do print documents from your iPhone and iPad

Trying to print something directly from your iPhone or iPad can be a bit convoluted, and you might think sending it to yourself and printing it from a desktop is more convenient. Rest assured, printing from your mobile device has only gotten easier over the years; How do print documents from your iPhone and iPad? here are the steps needed to make it happen.

In this guide, we’ll help take you through the process of printing from your iPhone or iPad with a couple of different methods to suit your needs.

Looking to offload content? Lucky for you, we have a guide on how to transfer photos from an iPhone to your Mac or PC.

How to print using Apple AirPrint

AirPrint-enabled apps let you create and print full-quality documents and graphics without the chore of installing drivers or configuring the printer queue. The requirements are rather minimal: You need any model iPad, an iPhone 3GS or later, or a third-generation iPod Touch -- as well as the latest version of iOS and an AirPrint-compatible printer with the latest firmware. Check Apple’s AirPrint basic support page for a comprehensive list of all compatible devices, including popular models from Canon, Epson, HP, Samsung, Brother, and a ton of other manufacturers. AirPrint functionality is also the same across all iPhone models, which makes the software easy to use whether you have an iPhone 5 or an iPhone 12 Pro.

Step 1: Connect to Wi-Fi

To use AirPrint, both your printer and iPhone must be connected to the same Wi-Fi network. Keep in mind there may be multiple networks available in an office setting, and you might have to enable the AirPrint function depending on which one your printer is using. Check your printer’s manual or the manufacturer’s website for more detailed instructions about how to turn on the function and connect to Wi-Fi.

Step 2: Select the printer

Check the connection between your iPhone and the printer by opening an AirPrint-supported app such as Mail, Safari, or Evernote. Most apps will feature a familiar arrow that resembles a forward or reply email icon. Tap the icon, select Print, and your printer should appear as the selected device by default. Otherwise, tap Select Printer at the top and allow your iPhone to scan for nearby printers.

Step 3: Choose the number of copies

Select the number of copies you want to print by tapping the addition and subtraction arrows to the right of Copy. At least one copy is mandatory, but you can print up to a total of 99 pages at once if you’re feeling trigger-happy. You can also tap Options to reveal color options and which pages to print if there are multiple pages.

Step 4: Print

Once you have selected the printer and the number of pages you want, hit Print in the top-right corner of the page. You can cancel your print job or check its status by double-tapping the Home button, choosing Print Center while in the App Switcher, and tapping Cancel Printing.

How to print using email

Did you think people were the only ones with email addresses? Many of Epson and HP’s new models feature HP ePrint or Epson Email Print for printing anywhere in the world by simply emailing a photo or document file to your printer’s assigned email. Once set up, the process is relatively easy and straightforward, merely requiring you to send an email from your iPhone to your email-compatible printer. This is obviously not an option for all users and printer models, but it is available for many models, such as the Epson Expression and WorkForce series, as well as most recent HP printers.

Step 1: Activate email printing

Assuming you have an email-compatible printer, the first thing you need to do is activate the email function. The enabling process will vary from device to device -- Epson users are going to want to activate Epson Connect, for instance -- but the entire process should be outlined in greater detail in your printer’s manual or on the manufacturer’s website. The printer will be assigned a default email address upon activation -- which will likely amount to a series of random characters at a specified domain name -- but you can change this later to something you will actually remember. Although your iPhone doesn’t need to be connected to the same wireless network as your printer to use email printing, the printer will still be required to connect via Wi-Fi as opposed to a standard USB cable.

Step 2: Print

If set up properly, all you need to do is email a document or image from your iPhone to your printer and it will automatically print the file to the default specifications -- typically letter size on plain paper, unless you adjusted the default settings during activation. Your printer won’t accept all file formats but should be able to handle files from Word, PowerPoint, and Excel, as well as JPEGs, GIFS, and PNGs, among others. Check your printer for details regarding acceptable file formats, size, and the number of printable attachments you can include per email.

How to print using other software

If neither AirPrint nor e-mail printing are viable options, you can always settle for software directly from your printer’s manufacturer or another third-party source. We recommend snagging Presto (formerly FingerPrint) and downloading the free iOS app, which is compatible with nearly all printers. You can also get this app on Android and Chrome. It works by connecting your printer and computer to third-party devices as long as they are both on the same Wi-Fi network.

Alternatively, you can use your printer manufacturer’s free proprietary app, such as Epson iPrint or Brother iPrint&Scan. That said, there are plenty of printers that do not support printing apps, and many printer companies haven’t even created apps to control their printers.

Step 1: Download and install the application

Once you decide on an application, head to the manufacturer’s website or the app’s corresponding page in the App Store. Then, download and install the app.

Step 2: Launch the application

Next, launch the application either on your computer or iPhone.

Step 3: Connect to Wi-Fi

Presto also has a feature known as Magic Queue that allows you to save print jobs until you’re connected to Wi-Fi again. It’s perfect for those situations where you have something to print but aren’t near a network or printer. To enable the feature, begin by launching an app like Notes or one that has a box with an arrow pointing out of it icon. Tap said icon, select the More option, and toggle Presto on. When you have something you want to save, hit the same box icon in the top-right corner, then tap Presto. You will be directed to a new page where Presto’s Magic Queue has already been chosen as the default printer. Hit Print to save your print job.

Step 4: Select the printer

Check the connection between your iPhone and the printer by opening an app such as Mail, Safari, or Evernote. Most apps will feature a familiar arrow that resembles a forward or replies icon or a box with an arrow pointing up. Tap the icon, select Print, and your printer should appear as the selected device by default. If not, tap Select Printer at the top and allow your iPhone to scan any printers you checked in Step 2. Also, your computer must be awake to access the printer.

Step 5: Choose the number of copies

Select the number of copies you want to print by tapping the addition and subtraction arrows to the right of Copy. At least one copy is mandatory, but you can print up to a total of 99 pages at once if you’re feeling trigger happy.

Step 6: Print

Once you’ve selected the printer and the number of pages you want, hit the Print button in the top-right corner of the page. You can cancel your print job or check its status by double-tapping the Home button to bring up the App Switcher and choosing Print Center -- or the print summary equivalent for the app you’re using.

How to print with Google Cloud Print

You can do nearly anything with Google, and printing is no exception. You can use Google Cloud Print to print from any Google app including the Chrome browser, Gmail, or Google Docs. You just need to be signed in to your Google account. You can also print other things via Google Cloud Print by using a third-party app.

Step 1: Get a Google account

If you have somehow made it this far without creating a Google account, make one now by going to Google and clicking Sign Up. Then, follow the steps to create a profile.

Step 2: Download the PrintCentral Pro app for your iPad or iPhone

Cloud Print only works on certain Google apps, and there’s no Google Cloud Print app for iOS. Instead, you can use PrintCentral Pro. Thankfully, the app is available for $6 from the App Store. Once downloaded, launch it.

Step 3: Choose something you want to print

Select the menu that resembles three horizontal lines; it’s located above and left of the PrintCentral app. Once you’ve opened the menu, choose a file, image, email, document, or webpage to print. Keep in mind, if you’re hoping to print an email, you’ll need to check beforehand that your email account is synced to the app. With specific files, be sure they’ve been added to the iCloud first. For printing images, Google will simply request access to them, and you’ll need to approve that request. After you’ve found the content you wish to print and set your affairs in order, select the printer icon in the top-right corner.

Step 4: Add printers

From there, a Printer (WiFi) page will appear on your device’s screen. In the top-right corner, you can choose to add a printer by tapping the Addition symbol. Then, select Google Cloud Printing, enter your Gmail address and tap the blue button that says Save.

Step 5: Print

Everything should run smoothly from there. Google Cloud Printing will select the correct file, and your device will direct you to a print preview page. You’ll see the file or document you’re trying to print along the top of the screen. Two options will also appear on the screen: You can Save to Google Drive or Modify Your Printer Settings. At the bottom of the page, you’ll find the options to Preview, Print, or Print Later to schedule your printing requests.

Apple plans to merge the "iCloud Documents and Data" service with iCloud Drive and manage them together

Apple plans to merge its iCloud Documents and Data service with iCloud Drive starting in May of 2022, according to a support document published late last week (via MacGeneration).

‌iCloud Drive‌ and ‌iCloud‌ Documents and Data share the fundamental ability to backup data from apps. However, ‌iCloud‌ Documents and Data was often a cumbersome, confusing experience. In contrast, ‌iCloud Drive‌ is more unified, with users able to access their files and content through the Files app across all their devices.

As Apple explains, starting in May of next year, users who are using ‌iCloud‌ Documents and Data will have their accounts automatically migrated to ‌iCloud Drive‌. However, users must manually enable ‌iCloud Drive‌ to view their files once the merger occurs.

In May 2022, the iCloud Documents and Data service, our former document synchronization service, will be interrupted and completely replaced by iCloud Drive. Therefore, if you use iCloud Documents and Data, your account will be migrated to iCloud Drive after that date.

If you use the iCloud Documents and Data service, you must activate iCloud Drive by following the steps below to view your files. Upgrading to iCloud Drive does not change the storage space used by your files saved in iCloud.

‌iCloud Drive‌ launched in 2014 as a unified, seamless way for Apple users to keep all their files, documents, and more synchronized across all their devices. To activate it, users on iOS or iPadOS devices can go to Settings -> ‌iCloud‌ and enable ‌iCloud Drive‌, or through System Preference -> ‌iCloud‌, and select ‌iCloud Drive‌ on macOS.

How to use the Smart Stack feature on iPhone to automatically float widgets

One of the cooler features in the iOS 14 software is a smart stack of widgets based on Siri intelligence. So instead of manually managing a bunch of widgets on the Home screen, you can tell your iPhone to automatically surface the appropriate widget just when you need it. Follow along with us to learn how to create, customize and use smart stacks on your iPhone.

Redesigned Home screen widgets were first previewed during Apple’s WWDC 2020 virtual keynote on June 22, 2020. They’re available across the iPhone and iPod touch with the iOS 14 software, on the iPad with iPadOS 14, and on the Mac with the macOS 11.0 Big Sur update.

These software updates are scheduled to release publicly this fall.

What’s the Smart Stack?

The Smart Stack is quite similar to the regular stack, but with the added smarts. As laid out in another iDB tutorial, the Widget Stack makes the most of the limited Home screen space by letting you swipe through the stack instead of multiple widgets occupying your Home screens.

The Smart Stack feature takes advantage of on-device Siri intelligence to surface the right widget at the right time. The system determines which widget in your smart stack to surface, based on factors such as time, location, device activity, and more.

As an example, depending on your daily routine you might see the Apple News widget in the morning, Calendar events during the day, and commute time from Apple Maps in the evening.

TUTORIAL: How to create widget stacks on iPhone

Follow along with our tutorial right ahead for the step-by-step instructions showing you how to set up, customize and use the Smart Stack feature on your iPhone or iPod touch.

How to add a smart stack widget on iPhone

We will show you how to create a new smart stack widget on your iPhone, as well as customize its widgets to your liking, remove one or more widgets from the stack, and more.

How to create a smart stack

Follow these steps to create a smart stack of widgets on your iPhone:

  1. Long-tap an empty area on the Home screen to enter jiggle mode or hold any Home screen icon until the popup menu appears, then choose the option Edit Home Screen.
  2. You’re now in icon jiggle mode. Tap the plus (+) button in the top-left corner to enter the widget gallery, which is the central place for all your widgets from Apple and third parties.
  3. Scroll down and choose the option Smart Stack from the list.
  4. Swipe left or right to choose the stack size (2×2, 4×4, or 4×4).
  5. Tap Add Widget to add the smart stack in the chosen size to the Home screen.
  6. Now drag the smart stack to the position you want and let go.
  7. Lastly, hit Done in the top-right corner to finish making changes to the Home screen.

And that’s how you create a smart stack of widgets on your iPhone. You can add as many smart stacks to the Home screens as you wish, in any supported size. Each smart stack can be configured to your liking in terms of widget ordering, widget settings, and so forth.

You don’t even have to manually pick the widgets for the smart stack, Siri has already done that on your behalf the moment you created the stack, based on your device usage patterns. The beauty of this feature is that you don’t need to leave the widget stacking to Apple.

If you’d like to curate the included widgets to your liking, you can easily remove any widget from the smart stack (as explained later in this tutorial) or add any widget you like simply by dragging an existing widget on the Home screen on top of the smart stack.

Interacting with your smart stack

You don’t have to learn any new skills because the Smart Stack feature supports the same interactions as the regular stack. Don’t like the widget that Siri has surfaced for you? No worries, simply bring another widget to the top manually, by swiping across the stack vertically!

You will notice that doing so will temporarily display a handy indicator next to the smart stack, lined up with vertically aligned dots which indicate the number of widgets within the stack. Like with the regular stack, a single smart stack can hold no more than ten widgets.

How to customize the smart stack widgets

You can customize options for each widget that’s within your smart stack to your liking, as well as remove one or more widgets from the stack and more.

Disabling Smart Rotate

The Smart Stack uses Siri intelligence to determine when to surface which widget from the stack. You can disable that option if you’d like to turn your smart stack into a regular one:

  1. Long-tap your smart stack and then tap Edit Stack in the popup menu.
  2. Slide the toggle Smart Rotate near the top of the screen to the OFF position.
  3. Hit that “X” to finish making changes to the smart stack.

This will stop widget rotation — now your smart stack is just a plain stack without any smarts. Conversely, switch on this option to convert your dumb widget stack into a smart one.

A single stack can hold up to ten widgets and you can have multiple widgets of the same kind within a stack. Simply drag one widget on top of another in order to create a new stack, then swipe vertically to cycle through all of the widgets in the stack.

Adjusting per-widget options

Do the following to adjust options for any widget within your smart stack:

  1. Swipe up or down on your smart stack to get to the widget you wish to customize.
  2. Long-tap the widget, then choose Edit “WIDGET NAME” from the popup menu.
  3. If the widgets provide any outward-facing settings, you’ll see them here. Make your changes, then tap anywhere outside the widget to get back to the Home screen.

Keep in mind that it may take a few minutes for the widget to update with your selection.

Some widgets provide configurable settings and others do not. For the Weather widget, for example, you can pick a city. The Reminders widget lets you pick the desired reminder list to display. The Stock widget allows you to cherry-pick your favorite stocks etc.

Reordering widgets in the smart stack

You can reorder the widgets within your smart stack if you choose to do so, but keep in mind that on-device Siri intelligence is still going to be determining which widget should be on top of all the others at any given time unless you disable the Smart Rotate option.

  1. Long-tap your smart stack, then choose Edit Stack in the popup menu.
  2. To reorder the widgets, drag the hamburger icons up or down.
  3. When done editing the smart stack, tap the “X” near the top-right corner.

You’re now back to the Home screen.

Now when you swipe vertically through the widgets in your smart stack, they will be listed in their new order of appearance. Don’t worry, Siri will still automatically surface the right widget at the right time without reordering the rest of your widgets.

Adding a widget to the smart stack

You can also curate all of the widgets in your Smart Stack manually rather than leave it up to your iPhone to combine several app widgets. Stacking widgets manually follows the same process as creating a folder: just drag the desired widget and drop it on the smart stack.

The widgets you add must be the same size as the other widgets. For example, you cannot have one small widget, two medium widgets, and three large widgets in a single smart stack.

Removing a widget from the smart stack

Follow these steps to remove a widget from the smart stack:

  1. Swipe up or down on the smart stack to get to the widget you wish to remove.
  2. Long-tap the widget, then choose Remove “WIDGET NAME” from the popup menu.
  3. Tap Remove to confirm the operation.

The widget gets immediately removed from the smart stack.

If you wish to quickly remove multiple widgets from the smart stack, hold the smart stack and choose Edit Stack from the menu. Now swipe left over the widget you wish to remove from the static and choose to Delete to immediately throw this widget out of the smart stack.

Repeat the process for all of the widgets you wish to remove from the smart stack.

Removing the whole smart stack

You can quickly remove your smart stack from the Home screen along with all of its widgets:

  1. Long-tap the smart stack you wish to delete, then tap Remove Stack in the popup menu.
  2. Tap Remove to confirm the operation.

The smart stack along with its underlying widgets will be removed from the Home screen.

For those wondering about wiping clean their widgets, don’t worry — this will not permanently remove the Smart Stack feature or delete its widgets from your device. You can always find your available widgets and stacks in the Today view to the left of the first Home screen.

How to create widget stacks on your iPhone

iOS 14 enables the user to create stacks of up to ten widgets each so that multiple widgets don’t take over the Home screen. Follow along with our tutorial for step-by-step instructions on creating widget stacks on your iPhone, including how to add or remove widgets from your stack, adjust settings for a stack’s widgets, use the Smart Rotation option, and more. How to create widget stacks on your iPhone?

Meet your redesigned Home screen widgets

The overhauled widgets in iOS and iPadOS 14 bring you glanceable snippets of information every time you land on the Home screen. Widgets come in three sizes-small, medium, and large — so so you can pick the information density that’s right for you.

Apple’s created redesigned widgets for stock apps like Weather, Clock, Calendar, News, Notes, Maps, Fitness, Photos, Reminders, Stocks, Music, Podcasts, Tips, Batteries, Screen Time, Files, and more. And developers can add custom widgets to their own apps with Apple’s APIs.

Apple publicly preview the redesigned widgets in iOS and iPadOS 14 during its June 22 WWDC 2020 keynote presentation. The Cupertino company is currently testing the iOS 14 and iPadOS 14 software updates before their release to the general public sometime in the fall.

Home screen widgets in iPadOS 14

iOS has offered widgets for quite some time now, but they used to be limited to the Today view which is revealed by swiping right on the Home screen. As mentioned earlier, the iOS 14 update allows you to actually put those widgets anywhere on any of the Home screens on your iPhone.

On your iPad, the Today view that houses your favorite widgets can still be pinned to the first Home screen just like before. However, iPadOS 14 won’t let you place these redesigned widgets anywhere on the Home screen like you can do with widgets on your iPhone in iOS 14. Not only that, but you also cannot create Home screen widget stacks on your iPad in iPadOS 14.

Follow along with us to learn how to create widget stacks on your iPhone and make the most of the limited space on the Home screen of your iPhone.

How to create a widget stack

Follow the steps below if you’d like to create a widget stack on your iPhone:

  1. Long-tap an empty area on the Home screen to enter jiggle mode or tap an app icon on the Home screen and select the option Edit Home Screen from the contextual menu.
  2. While in jiggle mode, hit the plus (+) button in the top-left corner to enter the widget gallery, which is the central place for all your widgets from Apple and third parties.
  3. Tap a widget you’d like to add to the Home screen.
  4. Swipe left or right to choose your widget size, then tap Add Widget to add your widget in the selected size to the Home screen.
  5. Hit the plus (+) button in the top-left corner to revisit the widget gallery, then pick another widget to create a stack: like in the previous step, swipe left or right to choose the same size as the first widget, then hit Add Widget to add that widget to the Home screen.
  6. You now have two widgets of the same size on your Home screen. Now simply drag one widget on top of another to instantly create a widget stack.

Note that you can create a stack of up to ten widgets.

You can even add the same widget multiple times to a stack. For instance, I have a stack comprised of multiple Weather widgets for different cities. I can simply swipe through the Weather widgets in my stack to quickly get the weather forecasts for the top cities that interest me.

You can create as many widget stacks as the available space on your Home screens allows. What you cannot do is stack differently sized widgets. For instance, you cannot have two medium and one large widget in the same stack, or five small and one large widget, and so forth.

Interacting with your widget stacks

You can cycle through a stack’s widgets by swiping through them vertically. The number of widgets in a stack is indicated by the vertical dots alongside the widget, similar to the dots at the bottom of the Home screen that denote the number of app pages you have. These vertical dots appear when you’re swiping through widgets in your stack and disappear automatically.

How to delete a widget stack

You can quickly remove a stack along with all of its widgets from your Home screen:

  1. Long-tap the widget stack you want to delete, then tap Remove Stack in the popup menu.
  2. Tap Remove to confirm the operation.

The selected widget stack will be instantly removed from your Home screen, creating space for additional icons or new widgets. Deleting a widget from the stack (or the whole widget stack for that matter) doesn’t actually wipe clean the widgets from your device. To permanently delete any widgets you no longer need, you’ll need to uninstall their apps app from the device.

How to edit a widget stack

Follow the instructions ahead for guidance on adding or removing a stack’s widgets, adjusting settings for a widget, changing widgets’ order of appearance, and more.

How to reorder widgets in a stack

  1. Long-tap the widget stack you want to edit and choose Edit Stack from the popup menu.
  2. To reorder the widgets in your stack, drag the hamburger icon next to a widget up or down.
  3. Tap the “X” symbol near the top-right corner to finish editing the widget stack.

Your widget stack should be instantly updated with the new order of appearance.

How to delete a widget from the stack

To delete a widget from your stack, follow the steps below:

  1. Long-tap the widget stack you’d like to edit and choose Edit Stack from the popup menu.
  2. Swipe left across the widget you’d like to remove and tap the hidden Delete option.
  3. Repeat the previous step for all the other widgets you’d like to delete from the stack or tap the “X” near the top-right corner to finish making changes to your stack.

The selected widget will be instantly removed from your stack.

You can also delete a widget from the stack by swiping up and down on the stack until you get to the widget you’d like to remove, then tap and hold the stack and select the option Remove “Widget Name”, then tap Remove in the popup menu to confirm the action.

How to adjust options for specific widgets in a stack

Some widgets have user-facing settings. Like the Weather widget, which lets you pick a city. Similarly, the Stocks widgets let you choose any ticker symbol to keep an eye on.

  1. Swipe up or down on a stack to find the widget whose settings you want to customize.
  2. Long-tap the widget, then choose Edit “WIDGET NAME” from the contextual menu.
  3. Use the available settings to customize the widget to your liking, then tap outside the widget to finish making changes.

It may take a few minutes before the widget updates with your selection.

As mentioned, some widgets offer certain customization options while others do not, and that choice is entirely in the hands of a widget developer.

How to stop widget rotation

When you create a stack, your iPhone by default periodically rotates its widgets based on how and when you use apps on your device, as determined by Siri’s on-device intelligence.

Follow the steps right ahead to stop widget rotation:

  1. Long-tap the widget stack you’d like to edit and choose Edit Stack from the popup menu.
  2. Disable the option Smart Rotate near the top of the screen.
  3. Tap “X” to finish making changes to your widget stack.

Your iPhone shall no longer switch widgets in this stack periodically.

For instance, if you keep several widgets in a stack, such as Photos, Stocks, Notes, Weather, and News, you may be greeted with the News widgets when you wake up provided you usually read your news in the morning. Then as you go about your day, the proactive Siri assistant may choose to surface the Photos widget to the top, showing you a featured photo before switching to the Stocks widget around lunchtime if that’s when you usually do your trading on the stock market.

And that’s all you need to know about widget stacks in iOS 14.
